Terms & Conditions
Welcome to Sunflower Solace PLLC. By engaging in services, accessing materials, or communicating with the provider, you agree to the following Terms and Conditions. These terms are intended to ensure mutual understanding, respect, and clarity between the client and provider.
2. Scope of Services
Sunflower Solace PLLC provides both clinical therapy services and holistic wellness offerings (such as yoga, meditation, and other non-clinical mind-body practices).
-
Clinical therapy is provided by a licensed mental health professional and is governed by professional ethics, licensure regulations, and applicable state and federal laws.
-
Wellness services are non-clinical in nature and are not a substitute for medical or mental health treatment. Clients engaging in holistic or wellness offerings do so voluntarily and with the understanding that these services are for personal growth and relaxation.
3. Confidentiality and Privacy
All clinical therapy sessions and client records are confidential and maintained in accordance with HIPAA and state privacy laws.
-
Electronic records are securely stored through Simple Practice or other HIPAA-compliant platforms.
-
Information from therapy sessions will not be shared without your written consent, except as required by law (e.g., risk of harm to self or others, child or elder abuse, or a valid court order).
-
Wellness and non-clinical sessions are also treated with discretion and privacy, though they are not subject to the same legal confidentiality standards as clinical therapy.
4. Scheduling, Cancellations, and Attendance
Appointments are scheduled in advance. Clients are responsible for attending sessions on time.
-
Cancellations: Clients must provide notice as outlined in the practice’s cancellation policy.
-
Emergencies: In the event of an emergency, the session may be credited toward a future appointment at the provider’s discretion, provided the provider is notified before the session or immediately after the emergency.
-
Missed appointments or late cancellations without notice are not eligible for refunds or credits.
5. Payments and Fees
All payments are due at the time of scheduling or service unless otherwise agreed upon in writing.
Sunflower Solace PLLC maintains a no-refund policy. Once a payment has been made, it cannot be refunded.
Fees are subject to change. Clients will be notified in advance of any fee adjustments.
6. Emergencies and Crisis Services
Sunflower Solace PLLC is not a crisis or emergency service provider.
If you are experiencing a mental health crisis or emergency, please call 988, go to your nearest emergency room, or contact your local crisis response team.
7. Professional Boundaries
All interactions between clients and the provider are conducted with professionalism and respect. The therapeutic and/or wellness relationship is a professional relationship and not of a personal or social nature. Dual relationships (business, personal, romantic, or otherwise) outside of services are not permitted.
8. Limitation of Liability
By participating in any service provided by Sunflower Solace PLLC, the client acknowledges that all activities—whether therapeutic, educational, or wellness-oriented—are voluntary.
Sunflower Solace PLLC and its provider(s) are not liable for any direct or indirect damages or injuries arising from participation in services, use of materials, or engagement with the practice’s resources.
9. Intellectual Property
All written materials, guided practices, meditations, class scripts, and other content provided by Sunflower Solace PLLC are the intellectual property of the practice and may not be copied, shared, or distributed without written permission.
10. Grievance Procedures
Clients who have concerns or complaints about clinical therapy services should follow the grievance process detailed in the Informed Consent and Practice Policies available through Simple Practice.
The provider is committed to addressing all concerns respectfully and in alignment with ethical and legal standards.
11. Policy Revisions
Sunflower Solace PLLC reserves the right to modify these Terms and Conditions at any time. Updated versions will be made available in writing or posted on official materials. Continued engagement in services constitutes acceptance of the most current version.
